It has been brought to our attention that outside scammer companies have been contacting our exhibitors, asking for updated information, offering visitor lists, or in some cases, demanding payment. These scammers use the guise of confirming hotel bookings, or booking exhibitor space, and others. We want to emphasize that, the Ottawa Valley Farm Show has no connection to these activities, does not endorse them, and has not approved this solicitation in any way. If you receive an unsolicited email from an address other than @ottawafarmshow.com, we recommend you not respond. If you have any concerns please let us know.

Registration Deadlines:

Please submit your exhibitor renewal form before September 1st, 2018 to reserve your space

To confirm your space, these 3 items must be received before November 1, 2018:

  1. Signed Contract/Invoice
  2. Proof of insurance per Schedule B
  3. Payment for space:
  • Please make cheque payable to “Ottawa Valley Seed Growers Association” (mail to: Box 411, Russell, ON  K4R 1E2) **THIS MAY DIFFER FROM YOUR RECORDS**
  • E-transfer to arlene@ottawafarmshow.com
  • Direct deposit as pre-arranged
  • Credit card payment by phoning our office at 613-791-3900

Exhibitors who do not forward these items before November 1 deadline may forfeit 2019 exhibit space.

2019 Show Hours:

Tuesday March 12            9:00 am to 5:00 pm
Wednesday March 13       9:00 am to 7:00 pm
Thursday March 14           9:00 am to 4:00 pm

Exhibitors are responsible for having staff present at the booth throughout the full hours of the show.

Exhibitor Costs:

Cost for space at OVFS19 will again be $5 per sq ft of indoor space and $2.50 per sq ft of outdoor space. Our show continues to be full, with an extensive waiting list for exhibitor space.

Curtains, Carpeting, Furnishings and Hydro:

Curtains, carpeting, furnishings and hydro are available for rent at your cost. Contact Freeman for more information.

Move-in and Move-out:

The exhibitor move-in schedule will be provided in February. As in the past, Exhibitors are expected to respect the schedule and move-in at their designated time and date. If you have any special requests for move-in, please let us know as early as possible and we will do our best to accommodate you.

The fire and bus lane at the front of the EY Centre must be kept clear of parked vehicles at all times. Only materials which can be carried in your arms may be moved in or out through the front doors. All wheeled items must be moved in and out through the rear shipping doors of the building.

Move-out begins after the show closes at 4:00 pm on Thursday March 14, and must be completed by 8 pm. Any exhibitors who choose to pack up and begin move-out before 4 pm will be recorded and may forfeit the opportunity to exhibit next year.

Exhibitor Passes:

Details on Exhibitor passes will be available soon. Please note: you will not be able to enter the building without your pass. Please ensure your staff is prepared before the show.


The Ottawa Valley Seed Growers Association is pleased to again offer free parking for all OVFS exhibitors and visitors. Please remember parking is limited, so carpool or take the shuttle when possible.

TRAILERS WILL NOT BE ALLOWED to park on site – this will be enforced. Offsite trailer parking is available at the lot at the corner of Albion Rd and Mitch Owens Rd, courtesy of W.O. Stinson & Son Ltd.


The Ottawa Valley Seed Growers Association is pleased to offer free WiFi for all OVFS exhibitors and visitors. Should you wish to have your own dedicated connection, please contact D.E. Systems Ltd.


Special rates are being offered to all OVFS19 exhibitors by 4 Ottawa partner hotels located nearby the EY Centre. Book early to reserve your space. Some hotels offer daily shuttles to the EY Centre.
