The Ottawa Valley Seed Growers Association welcomes all exhibitors as we celebrate our 91st Anniversary at the 2018 Ottawa Valley Farm Show.
Thank you for your patience as we have reorganized and renumbered the OVFS floor plan. We hope you will enjoy the improved traffic flow, entranceways and exhibit signage throughout the show.
Note your booth number has changed, but your physical location may be the same.
Our web site www.ottawafarmshow.com will be updated with full exhibitor information in January.
To confirm your space, these 3 items must be received before February 15, 2018:
- Your signed Contract/Invoice
- Your proof of insurance per Schedule B
- Your payment for space
- cheque payable to “Ottawa Valley Seed Growers Association (mail to: Box 411, Russell, ON K4R 1E2)
- e-transfer to email@example.com
- direct deposit as pre-arranged
- credit card payment by phoning our office at 613-791-3900
Exhibitors who do not forward these items before February 15 deadline may forfeit 2018 exhibit space.
2018 Ottawa Valley Farm Show hours are:
Tuesday March 13 9am to 5pm
Wednesday March 14 9am to 8pm
Thursday March 15 9am to 4pm
Exhibitors must ensure booths are staffed at all times when the show is open to the public.
Cost for space at OVFS18 will again be $5 per sq ft of indoor space and $2.50 per sq ft of outdoor space. As always, our show is full with an extensive waiting list.
Curtains, Carpeting, Furnishings and Hydro:
Curtains, carpeting, furnishings and hydro are available for rent at your cost. Contact Freeman for more information.
Move-in and Move-out:
The exhibitor move-in schedule will be posted here in February. Exhibitors must respect the schedule and move-in at your designated time on Sunday March 11 or Monday March 12. If you have any special move-in requests, please let us know as soon as possible and we will do our best to accommodate you.
The fire and bus lane at the front of the EY Centre must be kept clear of parked vehicles at all times. Only materials which can be carried in your arms may be moved in or out through the front doors. All wheeled items must be moved in and out through the rear shipping doors of the building.
Move-out begins after the show closes at 4 pm on Thursday March 15, and must be completed by 8 pm. Those exhibitors who choose to pack up and begin move out before 4 pm will be recorded and may forfeit the opportunity to exhibit next year.
Exhibitor passes MUST BE PICKED UP AT MOVE-IN. Please note: you will not be able to enter the building without your pass. Please ensure you distribute your passes to your staff before the show.
The Ottawa Valley Seed Growers Association is pleased to again offer free parking for all OVFS exhibitors and visitors. Please remember parking is limited, so carpool or take the shuttle when possible.
TRAILERS WILL NOT BE ALLOWED to park on site – this will be enforced. Offsite trailer parking is available at the lot at the corner of Albion Rd and Mitch Owens Rd, courtesy of W.O. Stinson & Son Ltd.
The Ottawa Valley Seed Growers Association is pleased to offer free WiFi for all OVFS exhibitors and visitors. Should you wish to have your own dedicated connection, please contact D.E. Systems Ltd.
Special rates are being offered to all OVFS18 exhibitors by 4 Ottawa partner hotels located nearby the EY Centre. Book early to reserve your space. Daily shuttles to the EY Centre are generously provided by some of the hotels.
We are very excited to work together with our OVFS partners. Recognizing that we are all in this business of agriculture together, we offer a variety of opportunities for exhibitors to receive further recognition and offer feature events at our Show.
The Ottawa Valley Farm Show does not share your exhibitor contact information.
Some foreign based companies have been contacting exhibitors to update your business information for their Index. In some cases, payment has been demanded. Some exhibitors have also been contacted by a firm to recruit and request your hotel room bookings. We want to emphasize that the Ottawa Valley Farm Show has no connection to these activities, do not endorse them and have not approved this solicitation in any way. We suggest exhibitors do not respond to any unsolicited approaches involving this show. If you have any concerns please let us know.
